Join the RI Country Music Festival on Saturday & Sunday, October 11th & 12th , 2025 and Saturday & Sunday, October 11th & 12th at 711 Hazard Rd. In West Greenwich, RI.  The event is sponsored in part by Wood & Wire Fence,  Cola Foods LLC, Sound & Stage LLC, Ocean State Party Rentals, Poland Springs Water, Dual Payments System, Atlas ATM, NESS Security, and many more…

 

The RI Music Festivals will be a fun community event with sponsors, vendors, merchandise, food, beverage, beer & wine tents, live performances, DJ’s, Jimmy Allen, tribute cover bands and fun games and activities for adults.

 

Your participation will help off-set the cost of the RI Music Festivals and a portion of it will be ear marked for advertising. We thank you for your consideration in advance. Completion of the application represents both an interest and a commitment to the 2025 RI Country Music Festival to be held October 11th & 12th in West Greenwich, South County Rhode Island located at 711 Hazard Rd.  I have reviewed and understand the regulations and application requirements of RI Music Festivals LLC and agree to abide by them if accepted to participate.  I agree to indemnify and hold harmless RI Music Festivals LLC. and The South County Rod & Gun Club and the Town of West Greenwich and its trustees, officers, employees, agents, sponsors and volunteers from and against any and all losses, claims, liabilities, suits, demands and expenses, including reasonable attorney fees arising out of my participation as a vendor or exhibitor at the 2025 RI Country Music Festival. I also agree to release all parties listed above from and liability of any nature for bodily injury, property damage any loss that may occur while I am participating in the RI Country Music Festival. I understand that if all or part of the festival is cancelled due to inclement weather or other unforeseen events, this contract is null and void and 50% of all fees are non-refundable. RI Music Festivals LLC. reserves the right to make final interpretation of all rules.

 

  1. Agreement Submission: You will have one month from the day contract is signed to return full rental fee. First come, first basis on all vendors.
  2. Certificate of Insurance: Our office must receive A certificate of insurance and the correct peddlers state license to participate in such an event no later than September 19th.
  3. Use fitted and/or branded table clothes for marketing your company. RI Music Festivals holds a higher standard with overall fan experience.
  4. Use appropriate lighting inside your location to ensure good visibility
  5. Use appropriate signage large enough
  6. Your responsible for your own rubbish removal
  7. Back wall recommended but not mandatory

Food Vendor Information

 

 

Dear Prospective Food Vendor,

 

Thank you for your inquiry about the 2025 RI Country Music Festival. Preparations for the festival are well under way and registration forms and policy information are attached. Please read all materials thoroughly.

 

The festival is scheduled for Saturday, October 11th & Sunday, October 12th.The entertainment schedule is to be determined, but there will be live music from signature cover bands and headliner Jimmy Allen. All the usual fun will be at hand:

The RI Country Music Festival will be a fun community event with sponsors, vendors, merchandise, food, beverage, beer & wine tents, live performances, comedy, DJ’s, and fun games and activities for adults.

 

Please note: After submission of all documents and monies, you will receive written confirmation from the executive team confirming your menu and booth space. Until you receive this confirmation, we cannot guarantee your space. Every effort will be made to accommodate your space requirements and preferences, however, we will not be confirming your exact location until a later date. 

 

A final note: All vendors are responsible for handling your own cash. Please make arrangements as change will not be made available. We appreciate your contribution towards making the 2025 RI Country Music Festival a success !

Food Safety Agreement

 

GENERAL RULES

 

FOOD

 

All food must be obtained from a reputable source. No home-prepared food may be served

  • Food must be kept in a refrigerator or on ice at 40 degrees F or less until cooked.
  • Approved  menus must be adhered to. No unapproved items may be used.
  • You are expected to comply with all Fire & Safety regulations.

EMPLOYEES

  • All employees must maintain a high degree of personal cleanliness.
  • Any employee under the age of 18 must be supervised by at least one adult.
  • Food and prep handlers must use gloves.
  • No tobacco use of any form is allowed on the grounds.

BOOTHS and/or TRUCKS

  • Booth and/or truck area to extend only to your specific booth area
  • No fundraisers are to take place. No raffles.
  • No selling of bulk product; however; commercially packaged condiments related to food items may be sold if approved by committee.
  • Vendors are responsible for their own rubbish removal.
  • No dumping whatsoever of is allowed of any kind especially grease, oils & hot water.
  • Signage may be placed in the area directly above your booth.

 

  • Booths must be restored to their original condition upon departure. A member of the festival will provide a before/after review with each vendor upon request.
  • You must have a Class K fire extinguisher if you are using a deep fryer.
  • You are responsible for your own tables and chairs.
  • The host companies of this event are not responsible for any lost or stolen merchandise left nightly.
  • No deliveries may be made in the park without prior written consent from the executive team.
  • Every vendor must have all the appropriate licenses needed to actively participate and all the correct Department of Health licenses when selling food.

 

Your signature signifies that you have read, understand, and agree to all of these rules. Any violations of these rules will be cause to forfeiture of deposit.

Food Vendors are responsible for own electricity. The selling of beverages require a separate application/fee, and could possibly be denied to sell beverages due to exclusivity. Also all vendors responsible for complete clean up and trash removal. The venue is not responsible for any lost, stolen or broken items from your retail space.
